Knowledge Base Article: Using the Classic M-Files Desktop Offline

M-Files allows you to work with vault content even when you do not have a network connection. You can mark objects, views, and virtual folders for offline availability, and M-Files will synchronise them to your device.

Marking Objects for Offline Availability

To make individual objects, a group of objects, views, or virtual folders available offline:

  • Select the objects, views, or virtual folders that you want to make available offline
  • Press Alt and select Operations > Offline Availability > Mark for Offline Availability from the menu bar
  • The selected documents are shown in the Offline view
NotesNote: If you make a view or virtual folder available offline, M-Files creates a new offline filter for it. This way, all new objects that meet the filter conditions are automatically updated to the offline view.

Removing Offline Availability

To remove the offline availability from individual objects:

  • Select the objects that you want to remove from the Offline view
  • Press Alt and select Operations > Offline Availability > Remove Offline Availability from the menu bar
NotesNote: When you remove the offline availability from a view or virtual folder, make sure that you run the Delete operation in the Offline view. Otherwise, M-Files deletes the whole view.

Creating Offline Filters

You can define filters to ensure you always have access to important objects without a network connection:

  • In the All view, go to Other Views > Offline
  • Press Alt to open the menu bar
  • Select Create > Offline Filter
  • In the Offline Filter Properties dialog, enter a name for your offline filter in the Name field
  • Select Define Filter to specify the conditions that objects must meet to be shown in this view
  • Click OK to save the filter

The offline filter is shown in Other Views > Offline and lets you access all the documents and objects in this view when the connection to M-Files Server is not available.

Managing Offline Filters

To edit or remove an offline filter:

  • To edit: Go to the Offline view, right-click the offline filter, and select Edit
  • To remove: Go to the Offline view, right-click the offline filter, and select Delete, then confirm by clicking Yes

Synchronisation

M-Files automatically synchronises your offline content when a network connection becomes available. Any changes you made while offline will be uploaded to the vault when you reconnect.
