CKB121 - Using Document Templates

Knowledge Base Article: Using Document Templates

Document templates in M-Files allow you to create new documents based on predefined formats. Using templates ensures consistency and helps you select the correct metadata for your documents.

Selecting a Template

When creating a new document, the template selection dialog helps you choose the correct template and class:

    • Select All tab to show all available templates and file formats
    • Recently Used shows all the templates you have recently accessed
    • Blank shows all file formats available for a new blank document
    • Use search to find a specific template
    • Select a class to show only the templates available for that class


IdeaTip: Selecting a class first, narrows down the available templates, making it easier to find the right one for your document type.

Creating a Document from a Template

To create a new document using a template:

    • Click the Create button in M-Files
    • In the template selection dialog, browse or search for the appropriate template
    • Select the template and click Next
    • The metadata card opens — fill in the required properties (marked with an asterisk *)
    • Select whether you want the document opened for editing (Open for editing) or saved immediately (Check in immediately)
    • Click Create

Using an Object as a Template

You can also use an existing object as a template for creating a new object. When you select a template from the list, the metadata card adjusts itself to the specifications of that template.

    • Specify an object as a template by setting its ‘Is template’ property to Yes
    • The object then appears in the template selection dialog for the relevant class

Template Management

Templates are managed by your M-Files administrator. If you need a new template or changes to existing templates, contact your system administrator or M-Files administrator.


NotesNote: The availability of templates depends on your organisation's vault configuration and the classes defined by your administrator.
